Position Overview
Reporting to the Chief Legal Officer – General Counsel, the Legal Assistant supports the legal department of the New Brunswick Medical Society (NBMS), including its physician membership and organizational/governance structure. The Legal Assistant acts as the organizational backbone to the legal department, which provides support and services to physician members, the NBMS Board and Committees, as well as other departments within the NBMS.
The ideal candidate is detail-oriented, discreet, and capable of managing sensitive information in a fast-paced, professional environment.

Duties and Responsibilities
Management reserves the right to add, modify, change, or rescind the work assignments of various positions and to make reasonable accommodations so that qualified employees can perform the essential functions of the job.
Key duties include:
- proactively supporting two lawyers in all aspects of organizing and executing on annual strategic workplan objectives, including contract drafting, management and renewal, NBMS governance objectives, negotiations support, physician member support priorities, and organizational administrative support
- preparing meeting materials for NBMS Board of Directors, Member Committees, and multi-stakeholder working groups, including meeting preparations, scheduling, agenda, materials and minutes prep for internal and external meetings
- supporting streamlined and efficient follow-through on action items
- supporting lawyers in managing and advancing multiple priorities of physician members and stakeholder partners concurrently
- supporting the development and growth of positive relationships with physician members, healthcare stakeholder partners and our team at the NBMS
- assistance in preparation, editing and formatting of legal documents including contracts, policies, and multi-party correspondence
- organization of legal files, both physical and digital, ensuring confidentiality and compliance with retention policies
- assisting with legal and other research as necessary, including the preparation of summaries or briefing notes
- supporting project management, tracking deadlines and responses of multi-party communications
- supporting the development and implementation of policies and procedures related to NBMS and physician member contract compliance and risk management
Position Location and Hours of Work
This position is in Fredericton, New Brunswick. Work outside the normal business hours of 8:30 a.m. – 4:30 p.m. to accommodate client needs will be required from time to time. After-work commitments can be expected and are usually predictable and planned well in advance.
Qualifications
- Post-secondary degree (eg: BA, BCom, Diploma or Certificate in Legal/Paralegal Studies) and/or relevant experience in a related field.
